Privacy Policy

This policy is effective December 4th, 2024.

Overview

FolderNest ("we," "us," or "our") respects your privacy and is committed to protecting your personal information. This Privacy Policy describes how we collect, use, store, and share information when you use our Google Workspace add-on service.

By using FolderNest, you consent to the data practices described in this policy. This policy is designed to comply with Google's API Services User Data Policy and Terms of Service.

Data Accessed: Google API Scopes

FolderNest requires access to specific Google Workspace APIs to provide its core functionality. We request the following permissions:

1. Display and run third-party web content

Scope: https://www.googleapis.com/auth/script.container.ui

Required to display the add-on's custom UI dialog that allows users to configure folder templates, manage settings, and interact with the add-on within Google Sheets.

2. See, edit, create, and delete all your Google Sheets spreadsheets

Scope: https://www.googleapis.com/auth/spreadsheets

Essential for reading spreadsheet data, accessing sheet headers, and writing generated folder links to the sheet. The add-on processes spreadsheet data to create folder structures based on user-defined templates.

3. See, edit, create, and delete all your Google Docs documents

Scope: https://www.googleapis.com/auth/documents

Required for replacing variables of Google Docs templates with form response values. Users can configure templates that include document creation as part of their folder organization workflow.

4. See, edit, create, and delete all your Google Slides presentations

Scope: https://www.googleapis.com/auth/presentations

Required for replacing variables of Google Slides templates with form response values. Users can configure templates that include presentation creation as part of their folder organization workflow.

5. See your primary Google Account email address

Scope: https://www.googleapis.com/auth/userinfo.email

Essential for identifying the current user to associate templates and folder structures with the correct user account. Used for user authentication and data persistence.

6. Connect to an external service

Scope: https://www.googleapis.com/auth/script.external_request

Required for making HTTP requests to external services, including Supabase database for template storage and Cloud Run API for folder and file creation processing.

7. See, edit, create, and delete only the specific Google Drive files you use with this app

Scope: https://www.googleapis.com/auth/drive.file

Critical for creating, organizing, and managing Google Drive folders and files. This is the core functionality - creating nested folder structures based on spreadsheet and form data.

8. Allow this application to run when you are not present

Scope: https://www.googleapis.com/auth/script.scriptapp

Essential for managing triggers that automatically create folders when form submissions occur. Enables automated folder creation without manual intervention.

Data Usage: How We Use Your Google Data

We use Google user data exclusively to provide and improve the FolderNest service. Specifically:

  • Spreadsheet Data: We read spreadsheet headers and row data to identify form responses and template configurations. This data is processed in real-time to generate folder structures.
  • Email Address: Your Google account email is used to authenticate your identity, associate your templates with your account, and send service-related communications.
  • Drive Files: We create and organize Google Drive folders and files according to your configured templates and form responses. We only access and modify files that you explicitly choose to use with our service.
  • Template Documents: We access Google Docs, Sheets, and Slides templates that you configure to replace variables with form response values.
  • External Requests: We make requests to our Supabase database to store and retrieve your template configurations and subscription information.

All data processing occurs in real-time during folder creation operations. We do not use your Google data for advertising or any other purpose beyond providing the FolderNest service.

Data Sharing: Third-Party Disclosure

We do not sell, trade, or rent your Google user data to third parties.

We share your data only with the following trusted third-party services for the purpose of providing the FolderNest service:

  • Supabase: We use Supabase to store your template configurations, subscription information, and user account data. Supabase is GDPR compliant and implements industry-standard security measures.
  • Cloud Run (Google Cloud Platform): We use Google Cloud Run APIs to process folder and file creation operations. Data processing occurs on Google's infrastructure.
  • PayPal: We use PayPal for payment processing. PayPal handles your payment information independently and securely.

We may disclose your information if required by law or in response to valid legal process, such as a court order or subpoena. We will notify you of any such request when permitted by law.

Data Storage & Protection

We implement comprehensive security measures to protect your data:

  • Google OAuth 2.0: All authentication uses the Google OAuth 2.0 protocol, ensuring secure access to your Google account without requiring you to share login credentials.
  • No Local Storage: Google user data (spreadsheet data, Drive files, etc.) remains strictly within your Google account. We do not download, store, or cache this data on our servers.
  • Encrypted Storage: The only data we store (template configurations and user account information) is encrypted in transit and at rest using industry-standard encryption.
  • Secure APIs: All API communications use HTTPS/TLS encryption to ensure data cannot be intercepted.
  • Access Controls: Only authorized personnel have access to stored data, and this access is subject to strict controls and monitoring.

Data Retention & Deletion

FolderNest is committed to responsible data management and retention practices:

Retention Period: We will retain your personal information for the length of time needed to fulfill the purposes outlined in this privacy policy, unless a longer retention period is required or permitted by law.

Google User Data: We do not retain Google user data (spreadsheet data, Drive files, etc.) on our servers. All Google data remains within your Google account and is processed only in real-time during folder creation operations.

Stored Information: The only information we store is your email address, subscription details, and template configurations. This information is retained as long as your account is active or as needed to provide services to you.

Extended Retention: In some circumstances, we may retain certain information for a longer period if it is required for legal obligations, dispute resolution, enforcement of our agreements, or to protect our legal rights.

Your Right to Request Deletion:

You have the right to request deletion of your data at any time. To request deletion:

  • Via Support Form: Submit a data deletion request through our support form at Contact Customer Support
  • Email: Send an email to our support team with the subject line "Data Deletion Request"
  • Response Time: We will review and process your request within 30 days of receipt, or sooner if required by applicable law.

Upon receiving your deletion request, we will:

  • Delete all stored user account information from our databases
  • Remove all template configurations associated with your account
  • Cancel any active subscriptions
  • Provide confirmation once the deletion is complete

Note: Deletion of your FolderNest account data does not affect files or folders we created in your Google Drive. Those files remain in your Google Drive under your control. You may delete them at any time through your Google Drive interface.

Policy Updates

We may update our privacy policy and will notify you of significant changes via email or website notice. Please review it periodically for updates.
